Call for Abstracts and Workshops

The organising committee of WIN2026 invites submissions of abstracts based on original research or case studies, as well as proposals for interactive workshops. Before finalising and uploading your submission through the Oxford Abstracts platform, please review the following guidelines carefully.

Submission Deadlines

  • Abstract submission deadline: 19 January 2026
  • Workshop proposal submission deadline: 19 January 2026
  • Early abstract deadline for visa applications: 6 October 2025
  • Notification of acceptance: 15 March 2026

General Guidelines

Authors are invited to submit an abstract or workshop proposal via the Oxford Abstracts submission system. Abstracts should not exceed two pages and may include figures, tables, and diagrams. The required format includes:

  • Title
  • Authors and affiliations
  • Five keywords
  • Brief introduction
  • Method
  • Results
  • Conclusions

Submissions must be completed through the platform. You will also be asked to provide additional details, such as author roles, presenting author, whether the author is a Young Water Professional, preferred presentation format, and the conference theme under which the abstract is submitted.

Presentation Format

During submission, authors can indicate a preferred presentation format:

  • Oral presentation
  • Poster presentation

The organisers will do their best to accommodate preferences, but the final format depends on availability, review outcomes, and the goal of ensuring a balanced programme.

Multiple Submissions

Authors may submit multiple abstracts, but each submission must be completed separately. Each author is expected to present only one paper at the conference. However, an author may appear as co-author on different submissions presented by others.

Abstract Review

All abstracts will be reviewed by the Scientific Programme Committee. Evaluations will focus on relevance to the WIN2026 themes, clarity of objectives, novelty, scientific quality, and contribution to the field. Final decisions regarding acceptance and presentation format will be communicated by 15 March 2026.

Authors will be asked to confirm their participation. Unconfirmed presentations will be removed from the programme.

Authors Who Need a Visa

For authors who require a visa to enter the Netherlands, an early abstract submission is recommended. Please submit your abstract by 6 October 2025 and indicate your visa need in the submission form. You will receive a notification of acceptance by 15 February 2026 to support your visa application.

You can edit and update your submission until 15 December 2025. Please make sure to complete all required steps. Incomplete submissions will not be considered for review or inclusion in the programme.

Workshop Proposals

We welcome interactive workshop proposals of either 1.5 or 3 hours. These sessions should encourage discussion and co-creation, and differ from regular presentations. Proposals may aim to set a research agenda, test ideas, develop tools or facilitate dialogue. Young Water Professionals are especially encouraged to propose workshops.

Submit your abstract or workshop

Workshops will be scheduled during the weekend prior to the main conference: on Saturday and Sunday.

Workshop Submission

Please submit your workshop proposal via the Oxford Abstracts platform. During submission, you will be asked to provide the objective, structure, agenda, preferred room setup, technical needs, and relevant conference theme. You can update your submission until 6 October 2025.

All proposals will be reviewed by the Scientific Programme Committee. Selection will depend on the quality, balance, and diversity of the overall workshop programme. Notifications will be sent by 15 March 2026.

Submitters will be asked to confirm the attendance of themselves and any co-organisers. Unconfirmed workshops will be removed from the programme.

Publication Opportunities

Following the conference, authors of selected abstracts will be invited to submit a full paper for publication in a special issue of one of the following peer-reviewed journals:

  • Water Resources and Industry
  • Water Science and Technology
  • Water Practice and Technology
